SHA is moving hospitals onto digital systems. Your email should be ready.

The Social Health Authority and the Digital Health Agency now require contracted facilities to run a certified HMIS, protect patient data and stay connected to SHA systems. Facilities that miss the 30 September 2026 deadline risk being left out of contracting or contract renewal. Every one of those systems is tied to an email address, and it matters whose address that is.

Why does a hospital need official email for SHA work?

SHA claims, HMIS vendor accounts, insurer portals and supplier contracts all depend on an email address for logins, password resets and correspondence. When those sit on a staff member's personal Gmail, the facility loses access the day that person leaves, and nobody can prove a message really came from the hospital. SHA itself corresponds from official sha.go.ke addresses, and an address on your own domain puts your facility on the same footing. Patient details in email are also sensitive personal data under the Data Protection Act, 2019, which is hard to protect in personal inboxes.

What exactly does KES 3,000 a year include?

A free .co.ke or .or.ke domain, unlimited email accounts on that domain, 20 GB of storage shared by the mailboxes and a website, free SSL, setup of your mailboxes by our team, and 24/7 support. Prices exclude 16% VAT, so the yearly invoice is KES 3,480.

Is the domain really free?

Yes. A .co.ke or .or.ke domain is registered as part of the order at no extra cost, and it renews with the package for as long as the package stays active. If you already own a domain, we host your email on it instead.

How many email accounts can we create?

As many as you need. There is no per-user fee. The practical limit is the 20 GB of storage, which every mailbox and your website share. As a guide, 40 staff who keep about half a gigabyte of mail each fit comfortably. Use the storage estimator on this page for your own numbers, and if you outgrow it we move you to a bigger plan without changing your addresses.

We already use a Gmail address. What happens to it?

Keep it running while you move over. Put the new address on letterheads, claim forms and your Google listing, update logins for SHA and your HMIS vendor to the new address, and set an auto-reply on the old one pointing people to it. Our support team can walk you through each step.

Will the mailboxes work on phones and in Outlook?

Yes. Every mailbox works in webmail from any browser, and on Android, iPhone, Outlook and other mail apps using standard secure settings. We help connect devices as part of setup.

Can we use the space for a hospital website too?

Yes. The package is a full hosting account with free SSL, so a website showing your services, clinic hours, location and accepted insurance schemes can run on the same domain. If you would like us to design and build it, ask about our website design service.

Does this package make my facility SHA compliant?

No single product does. Official email covers communication and account ownership. SHA's requirements for contracted facilities also include a certified HMIS, data protection measures and reliable connectivity.
