How to Add a Professional Email Signature in Webmail

A professional signature makes every email you send look credible and gives recipients an easy way to contact you. Here is how to set one up in NairoHost webmail.

Setting a Signature in Roundcube

1. Log in to webmail at mail.yourdomain.com and open Roundcube
2. Click Settings in the top-right corner
3. Go to Identities and select your email address
4. In the Signature box, enter your details
5. Tick HTML signature if you want formatting or a logo
6. Click Save

Setting a Signature in Horde

1. Open Horde webmail
2. Go to Settings → Preferences → Mail
3. Click Personal Information
4. Enter your signature text and save

What to Include

Keep it short and useful:

• Your full name and job title
• Business name
• Phone or WhatsApp number
• Website address
• An optional small logo (hosted on your own domain)

Best Practices

• Keep it under five or six lines so it is not distracting
• Avoid large images, which can trigger spam filters
• Use your real domain links, not link shorteners
• Test by sending yourself an email before relying on it

Tip: If you use your mail in Outlook or your phone instead of webmail, set the signature in that app separately, as the webmail signature only applies to webmail.
