How to Fix Cannot Send Email Errors

Troubleshoot the most common reasons your mail client fails to send, from SMTP authentication to wrong ports and quotas.

When you can receive mail but cannot send, the problem is almost always with the outgoing (SMTP) server settings. Work through these checks in order.

Check SMTP Settings

| Setting | Correct Value | | --------------- | ------------------- | | Outgoing server | mail.yourdomain.com | | SMTP port | 465 | | Encryption | SSL/TLS | | Authentication | Enabled | | Username | full email address |

  1. Confirm the outgoing server is mail.yourdomain.com, not your ISP's server.
  2. Set the SMTP port to 465 with SSL/TLS.
  3. Enable outgoing server requires authentication and use the same username and password as incoming.

Other Common Causes

  • Wrong password. Reset the mailbox password in cPanel and update your client.
  • Mailbox over quota. A full mailbox can block sending; free up space or raise the quota.
  • ISP blocking port 25. Never use port 25 for sending; use 465 instead.
  • IP blacklisted. If the server IP is blocked, mail to certain providers fails. Check for blacklisting.

Test From Webmail

Log in at yourdomain.com/webmail and try sending a message. If webmail sends successfully, the problem is in your mail client settings, not the server.

Still Stuck?

If webmail also cannot send, there may be a server-side issue. Contact support on WhatsApp at +254 796 358081 or via the /contact page with the exact error message.
