How to Create an Email Autoresponder

Send automatic replies such as out-of-office or holiday messages using the cPanel Autoresponders feature.

An autoresponder sends an automatic reply to anyone who emails a specific address. It is ideal for out-of-office notices, holiday closures, or confirming that a message was received.

Set Up an Autoresponder

  1. Log in to cPanel and open Autoresponders under the Email section.
  2. Click Add Autoresponder.
  3. Choose the character set (UTF-8 is recommended).
  4. Enter the interval in hours, which limits how often a repeat sender gets the reply.
  5. Select the email address and domain.
  6. Fill in the From name, Subject, and Body of the message.
  7. Set a start and stop time, or choose Immediately and Never for an always-on responder.
  8. Click Create.

Writing a Good Auto Reply

  • Keep it short and clear.
  • State when you will respond or who to contact in the meantime.
  • Include an alternative contact such as a phone number or another address.

A simple example:

Thank you for your message. The office is closed until 5 January.
For urgent matters, call +254 700 000000. We will reply on our return.

Tips

  • Set a sensible interval (for example, 24 hours) so the same person does not receive the reply on every email.
  • Remember to disable or delete the autoresponder when you are back, or set a stop time in advance.
